Time Off Request


INTRODUCTION: This form and workflow facilitate the process of managing Time Off requests. A team, or an entire department, can check the availability of their co-workers by simply looking at a Time Off calendar containing all approved requests.

DESCRIPTION: Once the request form has been filled in, the user starts the workflow by assigning the request to his or her manager. A list of managers from which the user can choose, can be predefined. After the workflow has begun, the user cannot modify the request, but can check its status throughout the entire workflow process.

The manager is notified by e-mail that a new Time Off request needs to be acted upon. The manager reviews the request, and approves or denies it by selecting the corresponding option from a drop-down box. If it is approved, the request is then assigned to Human Resources (HR). Both user and HR are notified of the preliminary approval.

HR reviews the request. If the user does not have enough time-off hours, or the request does not comply with company policy, the request is then denied. HR manually assigns the request to the corresponding denied state, and the user is notified.

If the request is approved it will become visible to all team members. The user is notified that the request has received final approval by HR.
